Privacy policy
This privacy policy describes Boardman Oy’s data protection practices and includes information on how Boardman processes personal data, what kind of information Boardman can collect, what purposes Boardman can use personal data for, and information on a person’s rights regarding collected personal data. Boardman complies with the provisions of the General Data Protection Regulation (GDPR). The privacy policy was last updated on March 17, 2023.

2. REGISTER NAME
Boardman’s Stakeholder and Marketing Register
3. PURPOSE OF PROCESSING PERSONAL DATA
Boardman processes personal data in order to provide services appropriately and lawfully, to the extent that they relate to the management, marketing, administration and development of stakeholder and partnership relationships.
Boardman processes personal data in arrangements related to events, workshops, meetings and trips organized for its stakeholders and partners, as well as in related communications, including general information and communications targeted at specific communities.
Boardman also processes personal data in other communications targeted at its stakeholders and partners, such as surveys, informational and news purposes (including newsletters), as well as for purposes related to electronic direct marketing. For these purposes, personal data is also processed in the planning, implementation and development of communications, information sharing and marketing.
The data subject may prohibit direct marketing targeted at them.
4. CONTENTS OF THE REGISTER (PROCESSING OF PERSONAL DATA)
The register contains the following personal data of current personal and corporate customers of Boardman Ltd., as well as potential customers. The register collects essential personal data necessary for the proper management of the customer relationship:
- Name
- Email address
- Mobile phone number
- Company and position
- Address details of the company
- Customer’s choices regarding direct marketing
- Other possible information required for services and events (such as participation in events and reported dietary restrictions)
5. REGULAR SOURCES OF INFORMATION
Personal data is collected from public sources, such as the websites of organizations, the data subjects themselves, and in connection with various events, meetings or training sessions organized by Boardman. Information is also generated as part of Boardman’s operations when a person participates in events or meetings, or when communications are directed at them.
6. RETENTION PERIOD OF PERSONAL DATA
The collected information is retained as long as and to the extent necessary in relation to the original or compatible purposes for which the personal data was collected.
The basic information concerning registered individuals contained in the register is retained as long as necessary for the development and management of stakeholder or partnership relationships.
Personal data collected by Boardman for direct marketing purposes is retained as long as necessary to complete the direct marketing measures.
Boardman regularly evaluates the need for retaining data. Boardman takes all reasonable measures to ensure that any personal data that is inaccurate, erroneous or outdated in relation to the processing purposes is deleted or corrected without delay.
7. REGULAR DISCLOSURES OF INFORMATION
The data controller only discloses the personal data of customers to third parties with the consent of the data subject or as required by Finnish authorities. The data controller may disclose the personal data of a customer who has registered for an event to the event partners.
The data controller does not transfer personal data outside the EU or EEA unless it is an event held outside these areas, in which case the information provided by participants is disclosed only to the extent necessary for the arrangements.
8. RIGHT TO INSPECT, AMEND AND DELETE INFORMATION
Customers have the right to know what information about them is stored in Boardman’s Stakeholder and Marketing Register or if there is no information about them in the register. Boardman must also indicate the regular sources of information for the register, as well as the use and disclosure of the information in the register. Customers who wish to inspect the information concerning themselves must submit a request to Boardman in a document signed by themselves or verified in a corresponding manner.
Customers have the right to inspect and amend information about themselves in Boardman’s Stakeholder and Marketing Register.
Customers have the right to prohibit the disclosure and processing of their information for advertising, direct marketing and other marketing purposes. Information can be deleted from the register at the customer’s request or due to the termination of the customer relationship.
9. PRINCIPLES IN ACCORDANCE TO WHICH THE REGISTRY HAS BEEN SECURED
Databases containing personal data are located on servers. The servers are protected by appropriate firewalls and technical security measures.
Access to the databases and systems is possible only with personal usernames and passwords that are issued separately. Only designated individuals have access to the data, and individuals who process the data have a valid non-disclosure agreement.
10. PHOTOGRAPHY AND VIDEOGRAPHY
We may take photographs and videos at our events. Unless the participant indicates otherwise, by attending the event, they grant permission for photography and videography, as well as for the use of images for marketing purposes after the event. If you do not want photographs or video material of you to be published, please notify us in writing at info@boardman.fi or through the event registration system used when registering for the event.
11. CHANGES TO THE PRIVACY POLICY
Boardman reserves the right to change this privacy policy to comply with legal obligations. We recommend that customers regularly review the contents of the privacy policy.
